
I’ve been noticing a small but surprisingly painful workflow and wanted to get some feedback before building anything.
Many freelancers, accountants, and small businesses receive invoices in different formats every day:
• PDF invoices from vendors
• Email invoices
• Screenshot receipts
• Scanned paper invoices
And the workflow still looks something like this:
Open the invoice → copy vendor name → copy invoice number → copy date → copy line items → copy total → paste everything into Excel or accounting software.
Then repeat that process again and again.
It’s simple work, but extremely repetitive and time-consuming.
So the idea is a very focused:
Upload invoice → automatically convert it into structured spreadsheet data.
For example, imagine uploading an invoice like this:
Invoice #: INV-2031
Vendor: Adobe Inc
Date: 02 Feb 2026
Items:
Photoshop Subscription — $20
Illustrator Subscription — $25
Total: $45
The tool would automatically return something like:
invoice_number | vendor | date | item | price

INV-2031 | Adobe Inc | 02 Feb 2026 | Illustrator Subscription | 25
Then the user can simply:
• Export to CSV
• Send directly to Google Sheets
Done. No manual data entry.
The first MVP would be intentionally simple:
1️⃣ Upload PDF or image invoice
2️⃣ OCR the document
3️⃣ Extract structured fields
4️⃣ Show a preview table
5️⃣ Export to CSV
Possible future additions:
• Gmail auto-import invoices
• Google Sheets sync
• Integrations with accounting tools
I know tools like Expensify, Bill.com, and Veryfi exist, but they tend to be heavier and more expensive — often designed for larger companies.
The idea here would be simple, fast, and affordable — something more like a $10/month tool for small businesses or freelancers.
Curious to hear from people who deal with invoices regularly:
• Is manual invoice entry still something you deal with often?
• If a tool like this worked reliably, would it actually save you meaningful time?
• And realistically — would something like this be worth paying for if it removed that manual work?
