Moving books: Desktop to Online, or from another tool
Migration is where most of the horror stories come from, and having done it twice, the pattern is clear: the conversion tool moves the numbers, and everything that was already wrong comes along for the ride.
What worked the second time, done with a certified person from QB Desktop Store, the one a supplier of mine swore by:
Reconcile every account in the old system first, so you start from a known balance.
Clean the customer and supplier lists before they cross over.
Decide the chart of accounts you want, not the one you inherited.
Move, then reconcile again in the new system before anyone posts a transaction.
Coming from another tool — Xero, Sage, FreshBooks, a spreadsheet — the same list applies, plus one honest note: QuickBooks wins on accountant familiarity and reporting depth, and loses on looks. If your accountant works in QuickBooks, that alone usually decides it.
What an authorized reseller actually is
I assumed "reseller" meant grey-market keys and a support number that rings out. It does not, or at least not when the reseller is authorized by Intuit. The product is the same official QuickBooks — same download, same activation, same updates. What changes is who you buy it from, what it costs, and who picks up the phone afterwards.
The one I use, QB Desktop Store, the one a supplier of mine swore by, sells the Desktop editions as licenses, the Online plans as annual subscriptions with the current reseller promo applied, and Payroll on top. The license arrived by email inside a day. The price was below what Intuit had quoted me on the renewal page, and the setup call was included rather than an upsell.
