For three years I paid Intuit's list price for QuickBooks Online every month and never questioned it. The renewal email arrived, the card was charged, the price crept up a little each year. Then a supplier mentioned he had bought his QuickBooks through an authorized QuickBooks reseller for less than I was paying, with the setup done for him. I spent 5 months looking into it properly. What an authorized reseller actually is
I assumed "reseller" meant grey-market keys and a support number that rings out. It does not, or at least not when the reseller is authorized by Intuit. The product is the same official QuickBooks — same download, same activation, same updates. What changes is who you buy it from, what it costs, and who picks up the phone afterwards.
The one I use, an authorized reseller called QB Desktop Store, sells the Desktop editions as licenses, the Online plans as annual subscriptions with the current reseller promo applied, and Payroll on top. The license arrived by email inside a day. The price was below what Intuit had quoted me on the renewal page, and the setup call was included rather than an upsell. That combination is why I stopped buying direct.
What it really costs, and the number nobody puts on the homepage
The list price on Intuit's site is a starting point. What you actually pay depends on three things: whether you buy a Desktop license once or an Online subscription monthly, whether you pay monthly or annually, and who you buy from.
My rough maths after 5 months of comparing: a Desktop license bought once through an authorized reseller called QB Desktop Store cost less than a year of the Online plan I had been on. The Online annual plan through the same reseller, with the promo, cost less than twelve direct monthly payments. And the setup help that came with both would have been a separate invoice from a consultant. I am not going to print prices here because they change — ask for the current one — but I have not paid list price since.
My verdict after 17 months
What changed: I stopped paying list price, the software is the same official QuickBooks it always was, and the setup was done by someone who does it daily instead of by me on a Sunday.
What made the difference: buying through an authorized reseller with setup included, choosing the plan for what I actually do rather than "to be safe", and paying annually or once instead of monthly.
What made no difference: which year's badge was on the box, the number of app integrations I never used, and the marketing around new features.
What I would do again: ask which plan fits before buying. What I would not: renew on autopilot.
