Designing a calmer project management tool for small teams

I’ve been building Ouraboard over the past few months, and one pattern keeps repeating.

Small teams often feel stuck between two extremes:

• Tools like Jira — incredibly powerful, but heavy for teams of 3–10 people

• Simple Kanban boards — clean, but too flat once projects become layered

One gives you process and control.

The other gives you speed — but not much structure.

What I keep hearing from founders is not “we need more features.”

It’s:

“We need enough structure to stay aligned — without feeling like we’re managing the tool.”

So I’ve been experimenting with a middle ground:

  • Kanban-first workflows

  • Epic-based grouping (so boards aren’t flat)

  • Lightweight sprints

  • Clear defaults instead of deep configuration

Not trying to beat enterprise tools.

Just trying to reduce noise.

For those running small teams:

What’s the first thing that starts feeling painful in your project management setup as you grow?
