Four Step Guide to Turn Your Business into A Well-Oiled Machine

When I start a business, I imagine what I can do to make client’s lives easier without the headaches of daily operations.

Whether it’s requesting a job, contacting your support, or all the above you need to make sure that your assistance isn’t a challenge for clients.

This is where your business process is important as potential clients will gravitate towards a simple model that will perform to their needs.

This is why you need to utilize software such as Asana, Trello, Teams to make the business process simple but also detailed.

Organizational website services like Asana for example make it so you know that your request is in line and the client will know that your product is on its way to them. All they must do is open the website and voila, they know that their request is almost ready, all without the hassle of contacting your business.

That is powerful.

It doesn’t stop there; you need to find a way to provide a simple step process that your clients understand what “phase” they are in. I call it the four-step solution.

Request, Process, Revise, and then Support.

First, the “Request” step will provide an entry point for your clients, a way to start the process.

  • As stated before, this needs to be as simple as possible but also needs to be thorough.
  • Client needs to understand how to process their request, this is where you need to step in to properly introduce them with a short presentation in the beginning.
  • Videos, How-To-Guides, etc. can be necessary for clients and your business during this phase.

Second, the “Process” is where the magic happens, is where you create and impress your audience.

  • Processing is the hard part but if you do it right, clients will become advocates.
  • Years of experience, and outreach will make this phase much easier but it’s not necessary.
  • Let the client know your guidelines and if their request has any indication that it might be challenging, you must relay that information.

Third, “Revise” is where you can improve, and gather client’s input to make your deliverable shine.

  • Start by making the process of input easy, like using communication tools such as Teams or Trello to understand what the client specifically wants to improve.
  • Do not take criticism at face value, this is the way you increase your skill set by cutting out the things that your client does not care about.
  • Once you have a greater relationship between you and your client, the revision process will be fast.

Lastly, “Support” is the bedrock of any business as clients will depend on your business for their success.

  • You can’t regard an end cycle of a request as one and done, you need to make sure you can obtain this end deliverable in a safe place.
  • A year may pass, and that deliverable may sprout into something that will become a garden of potential.
  • Making sure this product is ready to go when its prime time and make the difference between your competitors, your client will deeply appreciate your ongoing support to scale their business.

This concludes the four-step solution introduction. I think it is an amazing way to fine tune your business into a better well-oiled machine.
