I’m trying to understand how freelancers handle the messy bit between “the work is done” and “the invoice is sent”.
For people doing client work:
Do you usually send a summary before invoicing?
Ask for approval?
Send a PDF, spreadsheet, email recap, or call?
Or do you just send the invoice and deal with questions afterwards?
I’m especially curious about what happens when there are revisions, small extra tasks, scope questions, or hourly work.
Not trying to pitch anything here — just trying to understand the real workflow.
For hourly work I send a brief end-of-week summary before the invoice goes out. Just a few bullet points covering what I worked on, how long each piece took, and any decisions we made along the way. Takes five minutes to write and almost eliminates back-and-forth on the actual invoice.
For fixed-price projects I do a quick "here's what was delivered" email with screenshots or links, get a thumbs up, then invoice the same day. The key is making the approval step feel lightweight so they respond fast rather than letting it sit in their inbox.
The worst thing for cash flow is when the invoice triggers a conversation about what was included. If you front-load that conversation into a quick summary, the invoice itself becomes a formality and payment comes faster.
