I'm finally at the point with my project (pagewatch) where I can start inviting some people to try it out and hopefully get some feedback.
I'm planning to give out a free website report for people here (pagewatch is a tool to find errors in sites, there always are some that slips through). This is of course very different per site, so I'm just writing each email individually (in gmail), and keeping track of who followed up / any feedback basically in an excel sheet.
I feel there must be some sort of system designed exactly for this use case though? maybe even something developed by an indie hacker here?

You should definitely check out my tool Pigeon. You can build out this kind of automation and personalization, inside Gmail. Feels simple like a spreadsheet, too.
@frankdilo and @linuz90 used Pigeon in the early days of Mailbrew.com to get early VIP users through email outreach too.

Try finding a simple CRM tool, where you can invite people from it and then follow up from there. If not, use airtable to manage as CRM yourself.
