How do you maintain customer service during the holiday period?

Customer success is critical to any business, how to make sure to maintain good quality of service over the holiday period when most of your team is on vacation?
Any tip welcome, I will start by sharing mine: make sure to have proper out of office automation setup for your support email. Snoooz can help with that.

Pro tip: Have a B2B product that people only use when they are working/in the office & during week days. Since most of my users will be out of office / on vacation anyway I expect way less support requests, if any at all.

That is a cool hack. :) You might just have issue if you expend into market like China where Christmas isn't celebrated.

Hi Fabian! We constantly work on that.

First advice, be clear and honest. If you'll be limited so, let your customers know about it.

Secondly, improve your help center and FAQs section, in order to reduce regular questions.

Third, set alerts to core process. If something really wrong happens, you must be there.

Reworking FAQ before the holiday is a nice idea.

Maintaining customer service during the holidays involves a few key strategies:

    1. Clear Communication: Notify customers in advance about any changes in support hours or response times during the holiday period. Set clear expectations about when they can expect a response.

    2. Holiday Schedule: Plan staffing accordingly to ensure coverage during peak holiday times. Consider having a rotating schedule or outsourcing support if needed.

    3. Automated Responses: Use automated messages to acknowledge inquiries, informing customers about potential delays in response times due to the holiday season.

    4. Prioritize Urgent Issues: Have a system in place to identify and address urgent issues promptly, ensuring critical problems don’t get lost amidst the holiday rush.

    5. Empower Staff: Equip your customer service team with resources, clear guidelines, and authority to resolve common issues swiftly without unnecessary escalations.

    6. Post-Holiday Follow-Up: Consider a post-holiday follow-up to address any backlog or lingering issues promptly.

Remember, proactive communication and managing expectations are key to maintaining good customer service during the holiday season.

To maintain customer service during the holiday period:

Plan ahead for increased demand and allocate sufficient resources.
Train and brief staff on holiday-related queries and promotions.
Extend customer support hours and implement self-service options.
Communicate proactively about order status, shipping delays, and policies.
Monitor social media, offer live chat support, and express gratitude to customers.
On My site I have used all these things and monitor my social media actively on holidays.

    I'd go with-
    rostered support
set expectations upfront (emails/comms before holiday period being like "hey all, we'll be less contactable between X and X).
    beef up self-serve

Usually on holidays you need to keep support managers on a roaster basis. Maybe with overtime payment.

My view: Have a B2C Saas product where support is solved by the same product

Always try to optimize your product so you don't require to provide as much support to your customers.

Also you can try to schedule your team vacations so there is always someone available. You can offer a plus to their salary if they volunteer to stay working on these dates.
