When I started freelancing, I didn’t realize how much mental energy went into staying organized.
I was using:
One tool for tasks.
Another for client notes.
Spreadsheets for invoices.
It worked… but it felt messy. Context switching alone was exhausting.
Over time, I simplified my workflow into a few daily habits:
I plan tasks only for today, not the whole week.
Every task is linked to a client.
Once work is done, I convert it directly into an invoice.
I review overdue tasks once a day — no constant checking.
This approach reduced decision fatigue and helped me focus more on actual work.
I ended up building a small internal tool to support this workflow — and that later became Truedoit — but the biggest lesson wasn’t about the tool itself.
It was about designing a system that fits how freelancers actually work, not how productivity apps expect us to work.
Curious:
How do you currently organize freelance tasks and invoices?
What part of freelance work feels the most scattered for you?
Would love to learn how others handle this.
well put Prakash . i am building a browser named "Bubbles" that is designed to solve problems faced by people managing multiple client accounts like you.
will you be open to try it out and provide your feedback ?
