How I stopped feeling overwhelmed as a solopreneur, and started making real progress

When I first went solo, I thought freedom would feel amazing. In reality, it sometimes felt like drowning.

I was wearing all the hats everyday, product, sales, support, admin, and working long hours, yet I still ended most days wondering:
“Did I actually make progress, or just stay busy?”

The turning point came when I built myself a simple system:

  • Set just 2–3 objectives per quarter
  • Tie them to measurable results, not vague tasks
  • Review weekly: did my work actually push those results forward?

This wasn’t a silver bullet, and setting goals and objectives is not new. But the value lies in sticking with it week after week, whichmade a huge difference:
✅ I stopped chasing endless to-dos
✅ I knew what to prioritize and what to drop
✅ I finally felt calm and focused instead of overwhelmed

Over time I realized I wasn’t alone and a lot of solopreneurs struggle with the same chaos. So this week I’ve spend some time to clean up my Notion system and made it shareable.

I’m curious: how do you keep yourself accountable and focused as a solopreneur, when everything competes for your time?

The part that stands out is the phrase you used, staying busy versus making progress. Most solopreneurs never build a system to tell the difference, so this is exactly the kind of problem I built FounderFlow to solve. FounderFlow is your AI Executive Chief of Staff. It watches your business, identifies what matters, protects your revenue, and tells you exactly what to do next. I am onboarding the first thirty founders right now, so if the weekly review ever starts to feel like another task instead of a habit, I would like to hear about it.

Two things that helped me: 1) One-metric week (pick a single KPI and ignore everything else), 2) Constraint stack (1 channel, 1 persona, 1 offer for 2 weeks). What constraint made the biggest difference for you? And did you track “wins” daily (even tiny ones) to keep momentum? Would love to see your weekly template if you can share.

    Hey Ian,

    Excellent topic!

I co-founded a startup and was obsessed with producitvity. Do MORE, MORE... more tick marks completed means progress. After years, I discovered that this is far from true.
Actually, the very opposite is what works.

    You said it yourself:
“Did I actually make progress, or just stay busy?” 👌

More done, does not mean, progress is achieved.
I shifted my focus to VALUE.

Even if I accomplished one key task, the value of this matter is much more than xyz KPIs.
After all "Less is more". I starting focusing on what really matters.
Ever since, I never focused on pushing too hard.
    🎯 Just keeping track.

One thing I’m still curious about:
For those of you who’ve been solo for a while, what’s harder to manage day to day: staying focused on the right goals, or staying consistent week after week?

I’ve found consistency was the game-changer for me, but I wonder if others feel the same.
