How to get clients from cold-emailing | Tips & Templates

If you are you tired of hearing "No", "Not interested", "Unsubscribe" (if any answer at all...), then I think you will enjoy this post :-)

Spending countless hours building an email list, crafting "the perfect email" and yet generating no results. Yes, cold emailing can be frustrating.

But, like most things, it's about how you do it. And I would like to share here some of our experience generating 2,000+ warm leads via cold emailing for sales teams in the US, Europe and Asia.

Two stats to keep in mind:

  • There are more than 4 billion email users, while Facebook and twitter amount for about 3 billion users collectively.
  • On average an individual receives about 120 emails per day.

I’m pointing this out firstly to highlight that emails are being very widely used, but also that every email user is bombarded with emails every day.

So how can you cold email and still get results? Well, here are some tips you can apply right away:

1/ DELIVERABILITY

This is often omitted by many of us. Though it's probably the most critical part of your outreach prep.

First, verify your deliverability (aka do your emails actually reach your prospects' inboxes or do they land in spam, worse do they bounce because the email addresses you have are not valid...).

MXtoolbox - to check your domain health
UseBouncer or NeverBounce - to check your email list before sending

2/ SUBJECT LINE

Never dismiss your Subject Line. Why? Well it’s the first thing anyone sees on their inbox (and Mobile notifications!) and if yours is generic, then why even open it?

Tip: ask a question and personalize it with the prospect's name.

3/ EMAIL COPY

How personalized is your message?

Cold emails that don't generate results are typically those that send a sales pitch with little to no personalization (if you're copy pasting your message and just change the first name - I'm calling you out here) plus also finish with a lousy "let me know if you're interested" call to action.

Nobody wants to be sold on by a stranger, and if you receive 120 of such emails a day, you clearly won’t bother reading any of them…

Your cold emailing copy should focus on "connecting with" a prospect rather than "selling to" a prospect. That's how you get from cold to warm, otherwise you risk staying in the cold zone for ever.

Bear in mind that selling doesn't happen over cold-emails. The actual sales is always a result of a first positive interaction you create.

Tip for positive interaction: Focus your copy on the prospect. It's not about you, it's about them.

Find something specific as an icebreaker (Company Name, Location, Title are the standard - you can go beyond by mentioning the services they offer on the website).

Start your email with the following template:

"I'm amazed by how {{CompanyName}} helps companies to perform better and ultimately, to grow. From {{Service1}}, {{Service2}} to {{Service3}}, you've covered a nice spectrum of {{Industry}}."

This will be specific to each prospect, make them feel like you read about them and are genuinely interested in their line of business. And as a consequence, they will be more open to connect with you.

4/ FOLLOWING UP

Follow up. Only 8% of sales people think about following up, when 20% to 30% of your replies can come from your 2nd or 3rd follow up…

A golden tip: write your emails as if you were talking to someone.

Try to put the standard structure and formalities behind. The more structure, the less human and the more you make people feel like a line on spreadsheet that has just been mail merged…

    I think Brian Tracy said that in the 21st century, all selling will be relational selling. Connect genuinely instead of selling.

    Love this mate, as someone who runs a personalised cold email business you've got it patted down

    I'd love to add a few more options (if you're okay)

    Definitely confirm your DMARC and SPF to ensure deliverability
    Keep your domain always warmed up (lemlist does this natively)
    Only keep one link within your email
    Personalise, personalise, personalise (check out smartwriter if you'd like AI to do this at scale)
    Follow up as you said is crucial, mailshake is another great tool for outreach
    Omnichannel outreach has yielded very good results for us too where you interact with them across email + linkedin

    Awesome list of advice!

    I'd probably add that it's important to keep track of who you've emailed before so you don't accidentally send an email to someone who replied to you earlier. A simple CRM should be able to take care of this.

    Another thing that I generally do is to make a general template and add a block for optional personalization in the intro of the email. This makes it easy to both use in bulk and customize per contact. I added flow specifically for this when I built Wobaka, a CRM and sales automation tool I'm working on :).

      Absolutely right! The worst is when you hit someone twice (or more...).

      Cold outreaches are about making the best first impression. And with this you're doing the total opposite.

      CRMs are a great idea and happy to take a look at Wobaka. We also use Lemlist for emailing and it includes a feature to "exclude leads that exist in other campaigns". Comes in super handy.

    dude, this is a great post. The subject line and follow-ups are my weak points for sure.
    I never sent the following email after the first one if my prospects do not answer.

      Small details like this make actually a big difference in your results. I'd suggest to follow up 2 times with just a short sentence (never repeat the whole email you sent first).

      For a reference, on average the outreach campaigns we create have 5 to 10 steps. Most replies start coming in at the 2nd or 3rd email.

      And, you don't have to this manually. There are enough outreach tools out there that allow you to set up a multistep sequence :)

      I can only relate... Difficult to think about which ones work best. Only testing will tell.

      Some that I've seen work well are:

      • Coffee {{firstName}}?
      • Something for you {{firstName}}
      • (no subject)
        => this on is great to use for when you go ghosted. Since 100% of emails are sent with a subject line, not using one makes you standout.

    Very good post, thanks. I just want to add that being able to have valid data is crucial to cold-emailing. And that's a whole process on its own :)

      Absolutely right. Data is really the raw material for anyone doing cold outreach.

      While we run this internally ourselves for our clients, I know there's a few good providers. And unfortunately some weak ones that unfortunately harm your outreach...
