PH wasn't featured. Owners still invoice in Word / WhatsApp — what actually worked after a quiet launch?

Hey Indie Hackers 👋

I posted a launch thread here on Aug 15. Two weeks later we went live on Product Hunt (Aug 25). It wasn't featured. That's okay.

The useful work since then has been quieter:

  • talking to agency owners who still invoice every Friday 🧰
  • trades owners who chase payments over WhatsApp 🔧
  • independent consultants whose "yes" happens in a chat, then the invoice goes out late — or never

The pattern is pretty consistent:

  • the quote lives in Word or a one-off PDF
  • the yes happens on WhatsApp
  • the job grows, extras get argued, nobody wrote a change order
  • follow-up is another chat thread

That's the gap I built PortaFact for — unlimited invoices from $5/mo (Solo), Agency at $10/mo if you need a second user, client portal + reminders, 14-day trial no card.

I'm not pretending a leaderboard is the funnel. One real conversation beats a featured badge I didn't get.

If you run a studio, a trade, or your own Ltd: where does invoicing actually live today — Word, WhatsApp, Xero, or something else?

And for fellow founders: after a quiet launch, what actually produced the first stranger who paid? Not a friend. Not PH day. The boring channel.

The Word/WhatsApp pattern is exactly where I’d separate two problems: invoice creation/management and the awkward overdue moment. The latter can be a much smaller workflow: confirm the open balance, check that any fee was already agreed, choose how firm the reminder should be, and make the email easy to copy.

I’m building a small browser workflow around that narrow step, so I’m biased, but I’d validate whether people want the reminder wording/workflow or whether they immediately need tracking, sending, and payment history. The first stranger signal I’d trust isn’t a signup; it’s someone using it on a real invoice and saying which step they still had to do elsewhere.

Wrote a side-by-side PortaFact vs Invoice2go (price, caps, portal, Agency $10 vs Premium-class multi-user) — same theme as this thread, just the comparison table owners ask for:

Separate post on when caps / Word / WhatsApp stop working — not Invoice2go specifically, just the point where “cheap” invoicing gets expensive:

Wrote the Invoice2go-cap vs Word/WhatsApp path in one place — same lesson as here: the useful switch is when the job grows (quote → extras → chase), not a prettier PDF.

The quiet-launch signal is useful because the ICP is quite specific. Have conversations with agency/trade owners revealed which trigger actually gets them to switch from Word/WhatsApp, or is acquiring that first stranger still the bigger unknown?

The switch trigger so far hasn't been a nicer PDF. It's the first job that grew mid-way — extras argued in WhatsApp, no change order, then a late invoice. That's when Word + chat stops feeling cheap.

Acquisition is still slower than I want. The conversations that go somewhere start with how they chase unpaid work, not with a tool pitch. Deposit / change-order in writing is the practical nudge; the software only helps after they already felt that pain once.

That mid-job change-order pain is a strong trigger. I’d be interested in digging into what you’re seeing. If you’re open to it, what’s the best email to reach you on?

Curious what you’re seeing on your side too.

Thanks! I’ve just sent it over.

Looking forward to hearing your thoughts whenever you have a chance.
