For three years I paid Intuit's list price for QuickBooks Online every month and never questioned it. The renewal email arrived, the card was charged, the price crept up a little each year. Then a supplier mentioned he had bought his QuickBooks through an authorized QuickBooks reseller for less than I was paying, with the setup done for him. I spent 14 months looking into it properly. Online: which plan, and why annual
QuickBooks Online is the cloud version — log in from anywhere, your accountant logs in too, no install. The plans stack: Simple Start for one user and basic invoicing, Essentials adds bills and three users, Plus adds inventory and projects with five users, Advanced adds more users, batch work and dedicated support.
Two things I got wrong for years. First, I was on Plus and used none of what makes it Plus; Essentials was the right fit and I only found out when someone asked what I actually did in it. Second, I paid monthly. What changed: I stopped paying list price, the software is the same official QuickBooks it always was, and the setup was done by someone who does it daily instead of by me on a Sunday.
What made the difference: buying through an authorized reseller with setup included, choosing the plan for what I actually do rather than "to be safe", and paying annually or once instead of monthly.
What made no difference: which year's badge was on the box, the number of app integrations I never used, and the marketing around new features.
What I would do again: ask which plan fits before buying. What I would not: renew on autopilot.
