💬 Real talk: Why emails aren’t reaching inboxes?

Deliverability = retention.

In SaaS startups, critical emails simply can’t miss. Yet I often come across questions like “How do I improve deliverability?”, “Why are my emails going to spam?”, and similar. To help answer these, I put together a clear, practical guide to email deliverability best practices specifically tailored for SaaS startups.

From welcoming users, resetting passwords, to sending updates and marketing—deliverability ensures your messages land in the main inbox, not spam. Unlike simple delivery, deliverability reflects whether emails reach the inbox, impacting onboarding, retention, and conversion. Key influences include sender reputation, authentication, bounce and complaint rates, content quality, and user engagement.

1. Domain reputation

Providers evaluate sender reputation primarily at the domain level—this persists even if you change IPs or providers. Signals include spam complaints, bounce rates, sending volume consistency, engagement metrics, and authentication success.

2. Authenticate emails (SPF, DKIM, DMARC)

Set up SPF and DKIM records to verify sending rights and attach cryptographic signatures. Provider filters heavily rely on these. Adding DMARC protects against spoofing.

3. Choose a reliable sending infrastructure

Prefer ESPs or services with strong inbox placement records.

4. Warm up new domains/IPs

Start with low volume and gradually increase. Send to highly engaged users first to build positive signals during the warm‑up phase.

5. Separate transactional and marketing emails

Send transactional emails from a dedicated domain or IP to protect them from the higher-risk marketing traffic.

6. Maintain a clean, opt-in list

Use opt-in only—avoid third-party or scraped addresses. Regularly prune disengaged users and remove hard-bounces.

7. Create relevant, engaging content

Segment content for relevance, use real reply-to addresses (avoid “no-reply”), and include clear unsubscribe options. Quality content boosts engagement and signals value to providers.

8. Monitor deliverability metrics

Track engagement, bounce, and complaint rates. Early detection allows quick remediation.

What’s a “good” deliverability rate?

Over 90% inbox placement is considered very good; 95%+ is excellent. Transactional emails, sent to verified users, should aim for near 100%.
