Task Managers / KanBan Boards

What do you use to keep track of the work you're doing, the work you need to do, and the work you've already done?

Do you use KanBan boards? Do you follow agile sprints? Do you keep track of your momentum and points?

Some projects I've used in the past and for work:

  • Pivotal Tracker
  • Jira
  • Stacks (currently experimenting with this one)

    I use clubhouse.io - I find it to be a nice middle ground between the simplicity of Trello (which is too simple for my needs) and JIRA which is too complex.

    I do use a loose sprint-like methodology in my working style, I find it useful to be able to track my personal velocity and to ensure that in one sprint I am completing both a bunch of small, manageable stories and 1 or 2 larger stories.

    I see that another commenter thinks things like points and sprints are "stupid" - well, I'll voice the opposite opinion 😅 I think not estimating your work is stupid as you have no way to objectively measure tasks against each other, and not being able to look back and get an idea of effort vs. ROI is even more stupid. These are the benefits that things like points and sprint planning gives you :)

    For anyone interested in my working methodology:

    • 5 kanban columns: Random, Estimated, Current Sprint, In Development, Completed
    • All random ideas get put into Random
    • When estimated (and tagged etc) they move to Estimated
    • When I'm planning at the start of a sprint I pull them into Current Sprint
    • And then gradually pull them into In Development -> Completed as I work through them

    My sprints last 2 weeks, but I context switch from Tech to Marketing halfway through. So I have a 2 week sprint but focus on tech in the first week and focus on marketing in the second week. This makes sense to me because features I build in the first week, I then focus on promoting in the second week. I switch context via the "filters" feature in Clubhouse.io which basically lets me hide or show tech / marketing stories.

    We have launched and are continuously working on Teamhood - a visual project management tool for high-performing teams.
    It features a Kanban board, Gantt chart, workload management, time tracking, and more. ALso it will be easy to chack out since the free version has unlimited seats.

    I started using Asana for my small team. The UI is gorgeous and it's fairly easy to use. It offers a lot more than we actually used, however.

    Ended up making the switch to Basecamp after reading their Shape Up guide (agile-like framework). Can't see myself ever switching.

    You guys really need to try our https://fibery.io .For remote product teams works amazingly well. We switched from using multiple tools only to them + slack.

    We like it mostly because they have great relationship and data handling options so you can build your own system and workflow. They have Kanban boards with many options including row grouping as well as other views like charts, tables, whiteboards or documents

    Don't be afraid if you don't get it at first, take a second look and when you understand how you can build relationships between data you'll be surprised.

    I am using Notion (https://www.notion.so/)

    It's free for personal use and offers a lot of templates that you can use - including KanBan boards. You can also do loads of other stuff with it - many people integrate it directly into their product for different service pages like FAQ, roadmaps or documentation pages.

    I'm using https://trello.com/ currently for a project (sharing the board with one other person). It's working well for us, you can get a lot out of using labels for cards and having checklists inside of cards. You can also assign different members to different tasks. We have a "back burner" list where we put everything that isn't urgent or important, and it's nice to have that too so tasks and ideas don't get lost.

    Kanban seems great for when you have a clear idea of what you want to do next. For more exploratory work, another system might be better.

    I am using https://clickup.com right now and it's pretty nice, has a nice vibe (still has some bugs here and there but nothing major).

    At my current work (which is still a startup, but different from Amethyst Platform which is my side thing) we are doing weekly "springs": we have some task lists with things that need to be done and every monday we pick some of them for the week. Some kind of quick planning basically.

    I worked with

    • Jira and I hated it (although it had good features, but it was slow as hell and very convoluted)
    • Asana, it's alright, but everything important is available for the paid plans.
    • Trac and Redmine - kind of nice, they have what they need and are open source, but they feel old and outdated because of the UI. Those two don't have kanban views, only issue/task lists.

    I'm using Trello for my longer term tasks and then my own product Llama (www.llamalife.co) for organizing tasks throughout the day. Llama is more about organizing and visualizing chunks of time, whereas Trello helps me get an overview of what is to come.

    If I could take a moment to plug Portabella, I'd be really grateful if you could check it out.

    I'm developing it as an alternative to Trello/Asana, the difference is that it's end-to-end encrypted and totally privacy preserving.

    I'm iterating fast and adding more features all the time, so any feedback you have I'm more than happy to take on board.

    I am using Restyaboard for a year now and it's pretty good, so simple, so flexible, so easy! It’s a productivity and management tool specifically built around a Kanban-style workflow.     Currently utilizing Trello for monitoring tasks and workflow. It is simple, clean and works for exactly what I need.

    I use a tool I built called Retrospect.team (https://www.retrospect.team/), for my personal tasks I just have a board with 3 sections "Today", "This Week" and "This Month" and I drop all my tasks into the relevant sections.

    We also have a 10X Planner template if you really want to plan / schedule your day, or if you become a Pro user you can save your own templates.
