The SaaS tools that we use to run our SaaS business

We use a bunch of tools to run our SaaS business Convas. I have listed the main tools that we use below incl. what we use it for and a rank from 1 to 10 if we would recommend it to other SaaS companies (0 Not at all likely to 10 Extremely likely).

It's worth mentioning that we are less than one year old, we're a small team and we're bootstrapped.

If you want me to elaborate on any tool, let me know!

Team-wide

  • Notion - project & knowledge management (10)
  • Google Workspace - email, calendar, meet, docs, sheets, etc. (10)
  • Slack - communication (7)
  • 1Password - storing & sharing passwords (7)

Product

Marketing

  • Sendgrid - automated emails (3)
  • Airtable - CRM (8)
  • Typeform - surveys (8)
  • SEO tools: we have tested SEMRush, Moz, and Ubersuggest, but haven't loved any of them.

What are you using? Anything we should check out?

You can check out an alternative to Airtable, WORKIOM

You can build apps to manage & track your sales, projects, resources, marketing data, team, processes etc.

In simple words, you are going to build the app that’s best suited for your business & customize it as you go.

And For workiom there is an LTD available right now in SaaS Mantra.

I’ve been using ProProfs Project for quite some time for team collaboration and project management. You should definitely check it out. It’s a great tool if you want to keep your teams connected and processes streamlined. You can easily plan, track, and deliver projects on time, measure project progress, and most importantly, assess your team’s performance.

This all-in-one tool has worked well for us, and it might help you too!

Thanks, but I have to say we are really happy using Notion for project management. Here's how we use it if you're interested: https://convas.io/blog/project-management-with-notion

Ahrefs is good for SEO but it takes a while to get your head around.

Have you looked at GoSquared? Analytics, live chat, customer data all in one

    1. 1

Thanks. I haven't looked at GoSquared, will check it out. Have you used it?

      1. 1

I help them with their Blog so I'm pretty familiar with the product, but I've also used it on other projects.

The main reason I like it is because it streamlined so many things in one, and it's so easy to use whilst still being really effective.

If you also want to add a free tool for web designing collaboration, you can check out ruttl which is now open to use.

      Thanks, will check it out.

What don't you like about SEMRush, moz, and Ubersuggest?

    1. 1

SEMRush was the best of the three. Ubersuggest feels slow and somewhat incomplete, whereas Moz feels pretty old school..

How are you using Airtable as a CRM, is it just a standard Airtable template?

    1. 1

We built our own CRM in Airtable since our needs are pretty basic for the time being. Airtable's CRM template looks pretty good though https://airtable.com/templates/professional/expvjTzYAZareV1pt/sales-crm

Google Analytics as product analytics? I think mixpanel or splitbee (my product) are a better fit here! It could also do marketing/automated emails.

Regarding SEO tools: ahrefs is great but expensive!

    1. 2

Yep, agree. GA is definitely not great for SaaS. We're looking at Mixpanel or Kissmetrics going forward. Will have a look at Splitbee as well!

Ahrefs does look good and I like their content (their blogging for business course is really good), but indeed expensive...
