An evaluation presentation (based on project quality management), helps you measure how well your project is proceeding according to an identified set of standards.
This way, the stakeholders know how well the project is performing & if it is meeting its quality standards.
How should you structure your presentation…💭
You should include the summary of the presentation. This includes the project's goals & desired outcomes.
Also, your findings, lessons learned, and recommendations moving forward.
What steps should you follow when evaluating a deliverable - milestone ❓
Quality Standards are the requirements that the product - service must meet in order to be considered successful.
They should be objective & measurable so that you can clearly identify that the standards have been met.
☀️Common Quality Standards For SaaS Products: reliability, security, usability, performance, scalability.☀️
Εvaluation Questions are questions about the outcomes, impact, and/or effectiveness of your project & help measure the success of the project.
There are 2 categories of evaluation questions.
"how to improve questions"
"help you measure and compare questions"
☀️Common Evaluation Improvement Questions:
○ How can we improve?
○ What is working & not working?
○ Which goals are being met?
○ Who is benefiting?
○ What are the most common participant reactions?
☀️Common Evaluation Measurement - Compare Questions:
○ What were the results?
○ Were there unintended outcomes?
○ What were the costs and benefits?
○ Are there any lessons to be learned?
So lets be more specific !
Lets examine a project I was working for called Llanai which is an AI learning application that enables users to learn a new language via WhatsApp.
In this project, one of our milestones - deliverables is the Product Launch of the application which occurred in April 2024.
Therefore, I wanted to examine the evaluation of the launch in order to measure how well the launch went based on quality standards.
The Quality Standards for the product launch are:
🤗User Engagement: 90% of users stated they can easily navigate the app's features.
🤗 Accuracy of Language Learning: At least 50% of users had accuracy on translations
The evaluation questions for Llanai are:
⚡Improvement: How often do users report inaccuracies in translations? | Indicator: Frequency of reported errors
⚡Improvement: Are there any instances causing confusion while using the app? | Indicator: Number of mistakes reported
⚡Measurement: How frequently are users interacting with the AI tool? | Indicator: Users per week
⚡Measurement: What is the average session of users? | Indicator: Average time spent per session per user
Evaluation findings
Make a clear judgment about the findings for each quality standard. What can you take away from the data?
Example of Tablet Installation in Restaurant : "The data reveals that 36% of users felt their dining experience was negatively impacted by the tablets."
It’s up to you to synthesize that data and determine why that might be.
Maybe it’s because the tablet software wasn’t installed properly, resulting in glitchy technology.
Or maybe it’s because the staff wasn’t trained effectively, and therefore the ordering process was seriously delayed.
Maybe some customers just don’t want tablets taking their orders, and they prefer to deal with wait staff.
Some tips to consider when creating the Presentation:
📚Tailor Communication: When presenting important milestones, consider whom you are presenting to. If you consider presenting to the team you should include detailed report compared to a summary when it comes to presenting to stakeholders.
