What 20k SaaS sales calls taught us about turning sign-ups into paying customers

A year ago I would have told you that more ads and bigger email lists were the answer to SaaS growth. Then we started running our own voice AI platform (Hilda) and everything changed.

We built Hilda to help founders schedule and handle both inbound and outbound calls. Over the past nine months our agents have answered or dialled more than twenty thousand calls for dozens of SaaS products. That gives us a unique view into what works and what doesn’t when it comes to turning curious visitors into paying customers.

For context, “sales/lead gen tools” typically churn 10–15% of users every month. Cutting that churn means getting more leads to convert and stick around. Here’s what we learned by listening in on twenty thousand conversations:

  1. Speed trumps everything.
    When someone fills out a form or books a demo, the clock starts. Waiting half a day to call them back might as well be an eternity. In our data, leads contacted within the first five minutes were more than twice as likely to pick up and book a meeting compared to those contacted after an hour. The fastest companies weren’t magical. They just had a process that immediately triggered a call.

  2. Context is king.
    Most “AI agents” sound like robocalls because they don’t know anything about the person on the other end. We plugged Hilda into our clients’ CRMs so the agent could greet people by name, reference the exact tool they signed up for, and ask relevant questions. That simple context boosted our connection rate by roughly a quarter. People hate being treated like a ticket number. They love being treated like a human.

  3. Keep a human in the loop.
    Our best performing workflows never tried to replace sales reps. Instead, the agent qualified the lead and then handed the call to a real person when it made sense. We saw drop-offs plummet when leads knew they could speak to a human if they needed to. It turns out that a smart hand-off is worth more than the fanciest AI.

  4. Follow up like you mean it.
    Sending a single email after someone signs up isn’t enough. We tested follow-up strategies across our clients. The winning pattern was simple: immediate call, a personalised voicemail or SMS if they didn’t answer, and one more call within twenty-four hours. By the time a week-long email sequence finished, half the leads had already gone cold.

What surprised us most was that none of these lessons involve cutting edge technology. They are about respecting someone’s time, having the right information at your fingertips, and making sure there is always a real person ready to help. The AI just makes it scalable.
