What Should an EVV Dashboard Actually Tell You?

The worst time to discover an EVV problem is when billing has already started. Missing clock-outs, unmatched visits, incorrect service information, and unresolved exceptions are usually much easier to correct when the visit is still recent. Once those issues make their way to billing, staff may have to go back through schedules, EVV records, payer information, and caregiver activity just to figure out what happened.

A useful EVV dashboard should make those problems visible early. Staff should be able to quickly see which visits are verified, which are still pending, which have exceptions, and which have been rejected. Missing clock-ins and clock-outs should be easy to find without opening individual visits. The same goes for situations where the scheduled caregiver, service, or visit information doesn't match what was actually verified.

Rejections are another area where visibility matters. Seeing that a visit was rejected only gets you so far. Staff need access to the response information that explains what needs attention. Once a correction is made, they should also be able to see whether that information was resubmitted and accepted. Otherwise, the same record can keep getting checked while nobody is completely sure whether the issue has actually been resolved.

There’s also a lot agencies can learn by looking at EVV exceptions over time. If missed clock-outs keep happening at one branch, certain service codes repeatedly cause problems, or the same type of correction keeps coming up, those patterns can point to a larger workflow or configuration issue. Giving management access to those trends can help them figure out where additional training or process changes may be needed.

Billing readiness is another piece I think deserves more visibility. Before a visit moves downstream, staff should have a clear indication that the required EVV information is complete and any exceptions have been addressed. Filters by payer, branch, caregiver, date, status, and exception type can also make a huge difference when employees are working through a large number of visits.
