Why Shiny Sales Tools Aren’t Always Smart — Until You Meet the Right One

One of the most ironic trends in the corporate world is how much money companies are willing to spend on expensive software licenses that promise to improve performance. Yet, from the inside, most employees just see it as another tab to open. More tech stacking, more friction.

I've lived this firsthand. When I worked in sales, we were introduced to tools that were supposed to make our lives easier—especially with AI coaching. But the tool we used didn't even understand the product we were selling. The coaching felt generic, out of touch, and frankly, unhelpful.

That’s when I learned a powerful truth: the best tools are often the ones you haven’t heard of yet.

From Sales Frustration to Smart Organization

I’m not in sales anymore, but the lessons stuck with me. What matters most to me now? Organization. Following up with tasks. Keeping my to-dos in check. Making sure nothing important slips through the cracks. And tools that support that? They’re no longer “nice to have”—they’re essential.

That’s why I’m such a fan of platforms like Demodesk. While it’s built for sales teams, the underlying concept—using AI sales assistants to reduce cognitive load—is something I believe applies across roles and industries.

Back when I was selling, one of the biggest problems was pipeline management. Reps forgot to log calls. Managers had no visibility. Everyone was just guessing. Demodesk solves that with an intelligent sales AI assistant that automatically flags risks and recommends next steps, keeping your pipeline honest and up-to-date. The extra nice part is that it uploads your CRM with next steps, updates, objections and all that important stuff.

Now I'm really looking for a tool that can do that for my marketing efforts. So before jumping into the first best option I'd like to do my research and get some feedback here. Let's say I have a customer, they have a project with tasks, but then I have a meeting with a lot of information, new inputs, new tasks. Is there something out there which could automate this for use?

I've been reading into clickup's new feature where it added the conversation intelligence to the platform, however it wasn't working 100% for me but maybe I'm organising my tasks wrongly for it to be able to link.

Any tips on this, or any suggestions regarding to tools?
