Hello podcasters I'm learning about managing the guests from the first approach until the final, the podcast launch.
What part of the process holds you back, takes longer, that hurts your brain?

One part I find to be a delicate balancing act is estimating my 'success' rate with guests. Initially, I thought if I reached out to 10 guests, I should only expect 2 of them to say yes. I learned that if I have a direct connection to the guest, it's more like 2 out of 3 say yes; but if it's a cold email, it still ends up being 1 in 3 or 1 in 4. So there's a bit of math to figure out who to reach out to at what frequency in order to get a steady stream of guests and his your production schedule.
what do you use to reach out only email or linkedin,..?
How do you book, via calendar, calendly, email?
Where do you save your booking success rate in excel?

I use email if I can, as it's more personal. LinkedIn if I don't have the email.
I book manually for the personal touch... but calendly would definitely be a better approach.
To track success rate, I'm using a free personal CRM that's built into gmail, called Streak. I have no idea whether it's the best solution out there, but it met my criteria of 'free' and 'gmail', so that's what I ended up using. It could be better on the usability side, but it gets the job done.

Having to share the final podcast before publishing sometimes takes long and is a drag. Sharing files in the end as well can be annoying.
My workflow is the following:
Calendly invite, Zoom integration, emails, a Notion board to keep me in check, then a production/promotion calendar, Descript to edit
Would love to hear more about what people are using to optimise this process.
I have the sense that many podcasts - particularly high-volume, professional ones - don't promise to share with the guest beforehand.
That said, I also have this step. I find the guests really appreciate it.

Is the podcast audio only or it has video?
