Kairos Connect
The next-generation, AI-native Work Operating System
The modern tech stack has quietly expanded to an average of 10 apps. Each one is a destination where your team has to search for the truth.
We quantify this pain through the daily friction it creates:
• Minutes lost during every single context switch as employees hunt for information.
• Overlapping per-seat spend on tools that perform nearly identical functions.
• Weeks added to new hire onboarding just to teach them how to navigate across fragmented software.
This isn't a problem with the tools themselves—most of them are excellent. The real disease is fragmented data. When information lives in isolated silos, collaboration breaks down and productivity suffers.
This is the problem Kairos Connect exists to end. Follow along as we share our feature series every Tuesday.

Just shipped something we've been thinking about for a while: Claude now has direct access to your Kairos workspace.
This is bigger than it sounds.
The Problem We're Solving:
Most AI tools work in isolation. You ask Claude for advice, Claude makes suggestions based on training data, you manually implement them. That feedback loop is broken.
What if Claude knew your actual work?
What We Built:
Kairos MCP (Model Context Protocol) connector for Claude. This means:
You ask Claude something (in Claude.ai, Claude Code, or Claude Desktop)
Claude reads your Kairos data directly (tasks, docs, goals, roadmap)
Claude gives advice grounded in YOUR context, not generic training data
Claude can write back to Kairos (create tasks, update docs, etc.)
All without leaving Claude. All with OAuth (safe, no API keys).
Real Example (What I Just Did):
I had:
PDF with updated business metrics (Google Drive)
Kairos doc with outdated company overview
Need to generate Canva presentation for investors
Zero patience for manual copy-paste
Workflow:
Tell Claude: "Read the PDF, update my Kairos doc, generate a Canva presentation"
Claude connects to Google Drive (reads PDF)
Claude connects to Kairos (updates the doc)
Claude connects to Canva (generates presentation)
I get a shareable link
Takes ~5 minutes
Perfect data flow
Old way: 45 minutes, 6 context switches, manual errors. New way: 5 minutes, zero context switches, zero errors.
What This Enables (Real Use Cases)
Status Updates:
"Generate a Slack-friendly status update based on what my team completed in Kairos this week"
Roadmap Analysis:
"Which of my Q2 initiatives overlap? Are there dependencies I'm missing?"
Customer Feedback → Tasks:
"I have customer feedback in this email. Add relevant items as tasks to my Kairos roadmap."
Report Generation:
"Generate a monthly report from completed tasks in Canva format"
Documentation:
"Create a technical spec document in Kairos based on these Figma screenshots and requirements"
Async Communication:
"Summarize my Q1 goals and blockers in a way my CEO can understand in 2 minutes"
Why Indie Hackers Should Care
If you're bootstrapping a startup and juggling multiple tools:
Current reality:
Use Claude for thinking
Use Kairos for tasks/docs
Use other tools for everything else
Claude has no idea what you're actually doing
AI suggestions are generic
With MCP:
Stay in Claude (your thinking tool)
Claude reads/writes to Kairos (your work tool)
AI becomes contextual, not generic
Fewer tool switches
Faster iteration
The real value: You save the time you'd spend manually syncing work between tools. For a founder, that's 5-10 hours per week sometimes.
But more importantly: Claude becomes useful for your actual work, not just general advice.
Technical Details
Where it works:
Claude.ai (web interface)
Claude Code (CLI/automation)
Claude Desktop (Mac/Windows native)
What it can do:
Read tasks, docs, goals, chat messages
Create new items
Update existing items
Query across your workspace
Real-time data access
How to enable:
Update to latest Kairos
Go to Claude settings
Find "Connected apps" or "MCP"
Enable "Kairos Connect"
Authenticate with your Kairos account
Start using it
Security:
OAuth auth (industry standard)
Permissions based on your Kairos access
No API keys in Claude (safer)
All data encrypted in transit
Pricing:
Included in your Kairos plan
No additional charges
MCP calls count toward your API quota (generous limits)
What We're Learning
This is new territory. We're 2 weeks in. People are building workflows we didn't expect:
Someone built an automation that syncs customer feedback from Slack to Kairos to GitHub issues
Another person set up "every Friday at 5 PM, Claude generates a status report from my completed tasks"
A team is using it to auto-update roadmap dependencies when task status changes
The pattern: When Claude understands your context, work becomes faster.
What's Next
In the next 3 months:
Scheduled workflows – "Every Friday, generate status report"
Cross-app automation – Kairos → GitHub → Slack chains
Custom extensions – Build your own Claude ↔ Kairos workflows
AI suggestions – Claude recommends next steps based on your patterns
Curious Questions for the IH Community
What workflow would you automate first if Claude had access to all your work data?
What's your current pain point with AI tools? Is it that they don't understand your context?
Would you use this? Is this the kind of integration that would actually change how you work?
What would break it for you? Privacy concerns? Workflow doesn't fit? Tell me.
I'm genuinely curious how builders would use this. Your feedback shapes what we build.
Try It Out
Enable it: Takes 2 minutes in Claude settings

I just wrote a detailed breakdown of this because I kept seeing it in conversations with founders—everyone talks about cutting tool costs, but nobody's calculating the real cost.
Here's the truth: Most founders only count subscriptions.
Visible costs:
Slack, Notion, Linear, Figma, GitHub, Asana, Miro, Loom, etc.
Total: ~€10k/year
Hidden costs (the ones destroying your budget):
Context Switching Tax (€436k/year for 12-person team)
Takes 23 minutes to regain focus after each switch
Engineer switches between tools 6+ times daily = 138 minutes lost focus daily
That's €436,000/year in lost productivity alone
This one cost is 43x your entire tool budget
Decision-Making Delays (€300k/year)
Requirements in Notion. Feedback in Slack. Mocks in Figma.
Someone spends 30 minutes gathering context. Decision takes twice as long.
Ship a week late = lost momentum = lost revenue
Slow Onboarding (€32k/year)
New hire takes 3 weeks to understand where everything lives instead of 3 days
Every 2 new hires per quarter = €6-10k cost
Data Sync Overhead (€26k/year)
Marketing person manually copies data from Asana to Google Sheets
Ops person exports from Linear, imports to Notion
5-10 hours per week of manual busywork
Missed Communication (€28k/year)
Designer leaves feedback in Figma. Engineer never sees it.
CTO discusses critical decision in Slack thread at 11 PM. Junior dev in different timezone misses it.
Rework and duplicated effort
Team Churn (€120k/year)
Senior engineer leaves because "I spend half my day context switching"
Two more people burn out over 18 months
Replacement cost: €80-150k per person
Real total cost: €952,000/year
The ROI of Consolidation
Keep 11 tools:
Annual subscription cost: €10,000
Annual hidden cost: €952,000
Total: €962,000
Consolidate to 1 unified workspace:
Annual subscription cost: €3,000
Context switching reduction: ~70% (save €305k)
Decision speedup: ~50% (save €150k)
Onboarding: -50% (save €16k)
Data sync: -90% (save €23k)
Missed communication: -80% (save €22k)
Prevent 1 churn: (save €120k)
Total: €336,000
Annual savings: €626,000
The switch costs €13-27k one-time. It pays for itself in 6-9 days.
What I'm Curious About
What's costing YOUR team the most?
Is it context switching (the neuroscience says it should be)?
Decision delays?
Onboarding friction?
Something I missed?
I wrote a full breakdown with all the math here: thekairos.app/blog/saas-tool-sprawl-cost-roi
Would love to hear what resonates (or what you think I got wrong).
