May 21, 2026 Why we built PlanBoards after getting frustrated with modern productivity tools

Tomorrow we’re launching PlanBoards on Product Hunt 🚀

One thing that kept frustrating us with modern productivity tools was how complicated everything became.

You have:

  • tasks in one place

  • notes somewhere else

  • instructions for clients in chats

  • files and screenshots scattered everywhere

  • complex navigation and tons of features you will never use

At some point, organizing work starts feeling like work itself.
While building PlanBoards, we wanted to simplify that experience as much as possible.

One product decision we focused on heavily:
rich notes directly inside cards.

Instead of treating cards as tiny task placeholders, we wanted each card to become a real workspace where you can keep:

  • notes

  • checklists

  • files/images

  • priorities

  • due dates

  • instructions

  • communication

all together in one visual, color coded place.

We also intentionally tried to reduce friction everywhere possible:

  • fast loading

  • minimal setup

  • simple navigation

  • clean UI

  • lightweight experience

Another feature we personally missed in many tools:
sharing cards publicly via link without requiring signup.

We noticed people constantly need to share:

  • instructions

  • tasks

  • notes

  • inspiration

  • photos

  • checklists

with clients, freelancers, family members, or external collaborators who don’t use the same platform.

So we built that into the core experience.

Honestly, building a productivity app today is intimidating because the space is incredibly crowded and many tools are already very powerful.

But we still believe there’s room for products that prioritize:
simplicity, speed, clarity, and visual organization.
