Most small and medium businesses do not have formal / defined supplier sourcing and buying processes, and to the extent they do these are owned by people such as the founders, directors, operations or office managers, with ad-hoc support. This means the process only gets the attention and effort it deserves when making large, critical purchases, whereas all the smaller - but still significant - stuff just slides through, with non-negotiated rates, name-brand or already known suppliers, and too brief or over-specified requirements.

Large organisations with more formal processes and even procurement teams can do this better - even though they too have a long tail of smaller purchases that never see any market research or negotiation. But with AI and automation - this gap can close. SMBs can begin to apply consistent processes to their purchases - research the market properly, define detailed but pragmatic requirements that are suitable for their unique situation, obtain multiple quotes and negotiate to get the best price, quality and service level.

However because the formal processes up until now have only existed within large organisations - the tech and tools available to support them have also been designed for large organisations, with multiple stakeholders and reviewers involved in the buying process.

So AI-native sourcing and buying tools and methodology for small businesses do not yet exist in the way it should be able to with the technology we have in 2026.
