I kept running into the same problem: the person who knows a workflow has to stop doing the work and become a technical writer.

A two-minute process turns into screenshots, cropping, arrows, numbering, captions, and formatting. Browser recorders help until the workflow enters System Settings, Terminal, Office, Figma, or an internal Mac app.

So I built StepShot, an AI-assisted workflow documentation app for macOS.

You perform a task once. StepShot captures meaningful clicks and keystrokes, uses interface context to build a structured draft, and gives you an editable guide with framed screenshots and instructions. The finished guide exports to PDF, Markdown, or self-contained HTML.

The AI boundary matters to me. StepShot creates a complete local draft first. Optional cloud AI uses your own OpenAI-compatible endpoint and API key. Projects and screenshots stay on the Mac, there is no required StepShot account, and there is no product telemetry.

A few details took more thought than I expected:

- Capture the screen before the click lands, so the guide shows the button the reader must press rather than the menu that opened afterward.

- Use the same renderer for the editor, preview, and exports, so what you approve is what you ship.

- Make redaction destructive in the exported image instead of hiding sensitive pixels under a removable overlay.

- Keep the AI optional. A failed cloud request must never destroy the already-complete local draft.

What StepShot does not solve yet: it does not automatically detect when a third-party app changes its UI. If a workflow changes, you need to recapture the affected flow. There is also no Notion export, automatic translation, or cloud sync today.

The free tier has no time limit and includes the full capture and editor, with export limited to the first 10 steps. Pro is a $129 one-time purchase.

StepShot exists because documenting a workflow is still slower than doing it. People repeatedly perform the same onboarding, support, and operational tasks, but turning those actions into a clear guide still means takin
