ASK IH: How do you record meeting notes and action items? How do you track if they are done?

I wonder how you keep record of meeting minutes and action items.

Mail? Anything else?

Do you suffer from meeting action items being forgotten/not done?

Do you do anything to check if those items are done (except going through them at the next meeting) ?

          when you hold a meeting with external companies, do you still use Google Docs and Asana, do you share the Google Docs with the external company members?

            Yes I still use Google Docs and asana, and if I need to send the minutes I copy/paste them in an email

    I’ve used a couple of ways.

    I have a trello board for my 1on1s with team members. There is a recurring card each week for our meeting.

    There are checklists for standing or repeating agenda items. We can also add new items as needed.

    The meeting notes on what was discussed gets saved in the card as a comment.

    Each action item is turned into a new card that can then be copied into their own todo lists.

    For meetings outside the company, I have a zapier integration that adds a new google doc from a template into such meetings. All action items are then assigned to attendees on the google doc itself. This notifies them that they were assigned a task.

      Few followup questions:

      • Once the meeting is over, do you send out meeting notes (or google docs is enough) ?
      • Do you check the progress of action items until the next meeting?
      • Do you have problems with access right of external people on google docs?
      • If external party updates a action item status, how do you reflect this back to your own bucket list?
      • Do you use Trello as well for your development bucket list?
      • Do you integrate your regular development tasks and meeting actions items, or keep them separate?

      That's a lot of questions, I know, I would deeply appreciate if you could spare just a little bit of more time :)

        Happy to help. Taking your questions in the same order:

        • It depends. The Google docs link is already in the meeting invite, and one of us either shares their screen or we're all live editing the google doc in the meeting. Sometimes we have someone who joined only over the phone, so we might send out the link again by replying to all attendees.
        • We have a PM who will either follow up over email, create an issue in Github, or something else entirely, to close out the items. This doesn't guarantee that the task will get done, but it keeps everyone informed on what we're blocked on.
        • Yes, we did sometimes face delays because of access issues (sometimes people's work email isn't their default google email). Our solution is to enable link sharing (with comments and editing capabilities) on the documents added to meeting invites. Again this is done automatically through a Zapier workflow.
        • External party's updates have to be triaged manually, unfortunately.
        • No, but we link back to our Github issues in the Trello board.
        • We do not integrate regular development tasks with meeting actions -- the meeting actions could result in an issue being created. Those issues are then pushed into a backlog queue for each project. There is then a regular spring planning process that would decide if that task is going into our dev queue or not. Since this happens once a month (3 week sprints, 1 week sprint planning), we triage status updates manually.

          Goal is to enable people to record meeting minutes and action items. This can be in between organizations. Such a tool is aiming to help/track people getting the meeting action items done.

          It is still work in progress. But I should be much further in a couple weeks after collecting some feedback.

          Would you be so kind to try it out then - in a couple of weeks - and give me some feedback?

      hmm, nice insight.
      you do not need transciptions ok, but what do you do with meeting action items?

      do you email them to everyone?
      so your Trello board is basically a collection of your action items from all meetings, is that right?
