We always went for the CEO of a company and regular emails worked best for us. Stats: 100 emails sent => 4 interviews with CEOs
- We usually start by researching basic information about companies including the name of the CEO (found in the Imprint on German websites). https://imgur.com/a/4n2qSAV
- Obtain the CEO email address for every business
-- Use https://apollo.io (free) - it scrapes email addresses from LinkedIn. You can also reverse-engineer the email address of the CEO if you got [email protected], [email protected] and Vincent Baker is the CEO name => [email protected] will probably work.
-- If you tried different email combinations and your email still bounces, we just send the email to the general support address, but that usually yields a very low success rate
- Devise an email -- here's an example from us:

Dear Mr. Ozturk,
My name is Moritz Hofmann. My partner and I are software engineers and we are looking to identify potential software solutions for Shopify businesses. If you would be open to it, we would love to discuss problems you may have encountered with Shopify, and we are also interested in learning more about ways in which we could make businesses like yours more profitable and efficient.
Do you have time this week for a 10-minute phone call?

- Track the open rates of your emails
We use MailTrack free version (https://mailtrack.io/en/), since we use Gmail to send our emails. MailTrack tries to place a sponsoring banner into your email, because you use the free version. But I found out that you can simply delete the banner from the email and the email tracking will still work just fine.
- Send your emails
You can schedule emails in Gmail. We like to schedule for Tuesdays between 8-10am. Or you send the emails one by one => the timing won't be perfect, but as your emails are more spread out, the chance of getting an automated spam flag is lower.
- Follow-Up
After 2 days, if the email is shown as read but you did not receive a reply, send another follow-up email.
- Email again to set up a phone call and provide plenty of options (dates and times)
- Phone Call
You got an appointment for this. If your emails were read, but the CEO never replied, try to call the company to get through to him. In most cases his assistant at least informs the CEO of the call.
Contents of the Phone Call
First ask the CEO about the different things that they do as part of their core business. And then address each of those things individually. Talk about their problems with each activity. Don't jump to your idea! How to do that? Check this post: Talking to Users - Cheat Sheet
Some notes:
- We've had different amounts of success with this method depending on the target group we're contacting. For target groups with few conversions, try to
a) Refer to your own successful background to make yourself more interesting
b) For the first few crucial interviews, offer lifetime free access to the software product that you'll develop in the end. Be bold.
- Save contacting businesses located close to you for later, because they are more valuable
- We're not software developers, but we use this phrase in emails, because software developers come across as less threatening than sales people.
- A 10-minute phone call is also much more acceptable to a CEO than 30 or 60 minutes. It looks good and don’t worry - the actual conversations were way longer in our experience.
- Cold outreach emails shouldn't be more than 5 sentences or more than 70 words. We couldn’t keep that exactly, but we tried to keep it as short as possible.
- If you're contacting companies with 10 employees or less, it’s best to talk to the CEO directly. As for bigger companies, the CEO will refer you to the right person. So you still try to reach the CEO or the highest person in the company you can reach, and then just ask him about who to talk to regarding your interview.

Do you consider a 4% success rate to be good for this kind of cold contacting?
Just wanted to update you. We have now tried to reach out to another target group (Shopify shop owners) and it is totally different from nursing services. The success rate depends on your target group and on your email copy.
Another team I was in contact with had a 3,8% success rate. So I would say 4% is average. The emails sent to conduct the first 2 interviews might be less than 4% success rate. But after those you have a better understanding of the target group's problems, you can optimize your email copy and you might have a success rate of better than 4% going forward.

Are you doing anything to “warm up” your emails or is it not necessary at around 100?
What do you mean by "warm up" our emails? The email example I've included in this post was our first version which we have sent out in our very first emails.
There's like a thing where you can warm up the email that you new email accounts so that they don't get flagged by spam when you send a lot of emails.
But it sounds like in this case thats def unnecessary - that's probably only applicable to ppl sending thousands of emails.
Ah yes, that doesn't apply to us. We're manually sending out the emails and we're using our main email accounts.

It makes sense for us to start in the DACH region, so we didn't try this on other countries yet. I can't tell you the average open & reply rates so easily. I would have to manually count, since we didn't invest money in our tracking. I can say though that the open rate was pretty high, and of those who replied we scored an interview in maybe 50-75% of cases.

Thanks for the links to get name and email addresses of CEOs. They are really helpful. Still remember that the time when I manually checked some startup lists and then tried to find the Linkedin of CEOs for the cold reach. It didn't scale.

This is a good summary for cold outreaching for very early startup founders. We have gone through the exact same process to conduct the interview with relevant people in our domain to verify the idea we have. The most important tip I want to remind founders is that: do plan 10-15 min call to keep it concise, people are more willing to take short ones.

Are you saving local businesses for a later interview or looking at them as potential clients to reach out to once you validate?
I have a target list of 115 potential B2B customers, but based on size and services, some would be more ideal to partner with than others. I'm attempting to setup interviews with smaller competitors in the space at first and refining my interview approach as a scale up to larger potential customers.
There's more than enough non-local businesses, so we want to score the local businesses as clients once we validated. Apart from our email campaign, we are also in a pre-incubator program in our city and since we have a connection to those companies who are in the pre-incubator & incubator program run by the same organization, we also interview those companies pre-validation. Since we know the people behind those companies, almost every of those companies is willing to go do an interview with us and they provide great feedback.
Apollo is among the best I have seen, but i still see a high bounce rate. Even from verified emails
Follow-ups and using a multichannel approach are great, I would also say, that adding LinkedIn or maybe Xing in the case of the German market would be a nice touch.
You could do that manually or through a tool like Expandi/SkyLead and other alternatives.
Get a higher chance for a reply without much hustle.
