Quick context: I'm building NextRenewal.ai, a contract lifecycle management platform. One of the biggest pain points we kept hearing from procurement teams was vendor onboarding. Not the evaluation or negotiation — the paperwork.
The average vendor onboarding takes 23 days from contract signature to first payment readiness. The technical evaluation? 5 days. Legal review? 3 days. Collecting W-9s, banking details, insurance certificates, and compliance docs? 15+ days of email ping-pong.
So we built a dedicated Vendor Self-Service Portal (vendor.nextrenewal.ai) where vendors manage their own data.
## What the vendor sees
Vendors get a structured profile with clear sections: company information, tax and identification (W-9, EIN, etc.), banking and payment details (with email verification for security), contacts, document uploads, insurance certificates with coverage amounts and expiry tracking, compliance attestations, and diversity certifications (MBE, WBE, VOSB, SBE, DBE).
A real-time completion score shows them exactly what's done and what's missing. They can complete sections at their own pace — banking today, insurance certificates tomorrow after they get updated COIs from their broker.

A compliance dashboard showing every vendor's completion percentage, broken down by section. Custom compliance requirements per client relationship. Document request tracking with threaded communication — no more lost emails.

Early users report onboarding dropping from 23 days to 3-5 days. The procurement team's role shifts from chasing paperwork to reviewing submissions.
Authentication is frictionless: email OTP, Google, or Microsoft sign-in. Multiple team members from the same vendor can share access.
